En maak gebruik van het handige invulformat en de 7 tips!

Ik merk dat veel mensen moeite hebben met het schrijven van een projectplan om geld aan te vragen bij fondsen of subsidienten. Ze weten niet waar ze moeten beginnen, wat er in een plan moet staan, wat financiers belangrijk vinden om terug te lezen in het plan of hoe uitgebreid het moet zijn. Dit leidt tot uitstelgedrag, stress of onnodig veel tijdsinvesteringen. Anderen hebben al een plan ingediend bij financiers en kregen een afwijzing. Ze vragen zich af wat ze fout doen. Om deelnemers hierin te ondersteunen, bied ik in mijn trainingen een invultemplate aan waarmee ze direct aan de slag kunnen met hun projectplan.

Een deelnemer zei hierover: ‘Ik heb zoveel trainingen gevolgd over fondsenwerving, maar jij biedt het zo praktisch aan dat je meteen aan de slag kunt. Dat format helpt mij heel erg om structuur aan te brengen. Ik weet nu wat financiers willen weten en het zet me in de actiestand.’

Tip 1: Breng een duidelijke structuur aan

Financiers hebben niet veel tijd om de vele plannen die ze te lezen hebben van A tot Z door te nemen. Ze zoeken de informatie die zij relevant vinden om een goed beeld te krijgen van jouw project en om te toetsen of het project voldoende aansluiting heeft op hun beleid. Ze lezen dus kris kras door het plan heen. Een goed projectplan kent daarom een logische opbouw met een duidelijke structuur waarin informatie overzichtelijk gepresenteerd is, zodat relevante informatie snel gevonden kan worden.

Tip 2: Zorg ervoor dat je projectplan een heldere probleem- en doelstelling bevat

Steeds vaker stellen fondsen en subsidienten hogere eisen aan projecten. De focus op impact of het sociaal rendement is de laatste jaren toegenomen. Om de impact te kunnen aantonen begin je in je projectplan met jezelf de vraag te stellen welk maatschappelijk probleem je project oplost. Wat verandert er door je interventie. Het werkt overtuigend als dat in je plan opgenomen is en smart geformuleerd is.

Tip 3: Mijd vaag taalgebruik

Ik  heb plannen meegemaakt die stroperig waren en dus moeilijk leesbaar waardoor ik afhaakte. Dat is vaak geen goed teken, want de kans dat een financier een plan zal proberen te doorgronden en in behandeling zal nemen wordt klein. Er is niets zo stroperig als wollig taalgebruik, zoals veel beleidstaal met abstracte termen als ‘participatie’ en ‘sociale cohesie’. Iedereen bedoelt er wat anders mee waardoor je er eigenlijk niets mee zegt. Het wordt voor de financier dus moeilijk om een goed beeld te vormen van waar je project precies aan bijdraagt.

Tip 4: Zorg ervoor dat alle inhoud met elkaar samenhangt

Ik heb vaak plannen gelezen die tegenstrijdigheden bevatten. De inhoud van de aanleiding komt niet overeen met het doel en/ of het doel komt niet overeen met de resultaten. Of het doel hangt niet samen met de aanpak. Dat werkt niet overtuigend voor de financier en geeft de indruk dat je als initiatiefnemer geen focus hebt en niet weet waar je mee bezig bent.  

Tip 5: Zorg ervoor dat alle relevante informatie erin staat

Veel informatie is in de hoofden opgeslagen van de initiatiefnemers. Veel informatie die wel aanwezig is, wordt dan niet opgenomen in het plan. Die informatie is vaak wel relevant voor de financier. Let erop dat je alle relevante informatie opneemt in je projectplan, alle informatie die nodig is voor de financier om het besluit te kunnen nemen of het project in behandeling genomen wordt of niet.

Tip 6: Verplaats je in de lezer

Probeer je te verplaatsen in de lezer wanneer je een projectplan schrijft. Ga er daarbij vanuit dat de lezer niets van de materie snapt en deze overtuigd moet worden van de urgentie van jouw project. Dat is de enige manier om tot heldere en concrete teksten te komen. Het werkt vaak goed om een leek je plan te laten lezen. Die zal vaak de goede vragen stellen zodat je je plan kunt concretiseren.

Tip 7: Vergeet de begroting en het financieringsplan niet op te nemen

Een goed projectplan bevat ook een begroting en een financieringsplan. De posten in de begroting dienen overeen te komen met de inhoud van het projectplan. Deze sluiten naadloos op elkaar aan. Een opgeklopte begroting wordt doorheen geprikt. Zorg ervoor dat je begroting voldoende gespecificeerd is, zodat deze makkelijk te lezen en interpreteren is.
